Duplicate Transactions After Reconnecting a Bank Feed in QuickBooks Online

When duplicates appear after a bank feed reconnection, check first for overlap. Overlap arises when the new connection downloads transactions for a date range that QuickBooks already holds, from the old connection, a file upload or manual entry. Each overlapping item is then added a second time instead of being matched or excluded. The fix is to find the overlap window, remove the second copy of each transaction through the bank feed's Undo and Exclude steps, and confirm the QuickBooks balance agrees with the bank again. Prevention starts with one decision made at reconnection: the start date.

Why reconnection creates duplicates

A bank feed brings in transactions for a period. When a connection breaks and is set up again, or someone connects the same account a second time, QuickBooks may bring in a period it already has. Ways this can happen:

  • An overlapping start date. The reconnection is set to download from a date earlier than the last transaction already in QuickBooks.
  • Manual entries or uploads followed by a feed. Transactions keyed in, or imported from a file while the feed was down, are downloaded again when it comes back.
  • A second bank account record. The reconnection is linked to a new account in the chart of accounts instead of the existing one. Both then carry the same transactions.
  • An app and the feed posting the same item. A payment or e-commerce integration records a transaction, and the bank feed then adds it again.

A downloaded item becomes a duplicate in the books when it is categorised and posted as a new transaction, instead of being matched to the existing entry or excluded.

Find the overlap window first

Before removing anything, establish exactly which dates are affected.

  1. Compare balances. Compare the bank statement balance with the QuickBooks balance for the account at the same date. A difference that appeared at the reconnection is the first sign.
  2. Open the account register and sort by date. Look for pairs: the same amount, on the same or adjacent dates, with similar descriptions.
  3. Identify the window. Look for duplicates between the start date of the new connection and the date the old connection stopped. Note both dates.
  4. Check whether a second bank account exists in the chart of accounts for the same real account. If it does, the duplicates may be spread across two accounts, not paired in one.
  5. Total the suspected duplicates. That total should explain the difference found in step 1.

Remove the duplicates

Intuit's guidance distinguishes two cases, using the bank feed tabs Pending, Posted and Excluded.

Duplicates not yet added (still pending).

  1. Go to Bank transactions and select the account.
  2. In Pending, tick each duplicate and choose Exclude. The items move to Excluded.
  3. To remove them completely, open Excluded, tick them, and choose Delete.

Duplicates already categorised or matched (posted).

  1. In Posted, tick each duplicate and choose Undo. With several selected, confirm with Continue. They return to Pending.
  2. In Pending, tick them and choose Exclude.
  3. In Excluded, tick them and choose Delete.

After each batch, check the register to confirm the duplicate entry itself has gone, and that the original remains.

Keep the right copy. Where one copy is linked to an invoice, a bill or a reconciliation and the other is not, keep the linked copy and remove the other. Where both have been coded differently, compare them with the bank statement and the supporting document before deciding.

When a duplicate has already been reconciled

If a duplicate falls inside a period that has already been reconciled, removing it changes the reconciled balance. The next reconciliation will then open with a discrepancy. In that case:

  • note the reconciled duplicates and their total before removing them;
  • remove them, and expect the beginning balance difference to equal that total;
  • review the affected reconciliations. An error-free reconciliation should not have included a transaction twice, so the original reconciliation was itself wrong and needs to be revisited against the statement.

Our post on why a QuickBooks reconciliation stops balancing covers how to trace and correct that beginning balance difference.

If there are two bank account records

Where the reconnection created a second account in the chart of accounts:

  1. Decide which account to keep: the one that carries the reconciliation history.
  2. Disconnect the feed from the duplicate account and connect it to the original, choosing the download start option that overlaps least with transactions already in the original.
  3. Move any genuine transactions that exist only in the duplicate account into the original. Then remove the duplicates, and make the duplicate account inactive once its balance is nil.

Prevent it next time

  • Set the start date deliberately. How far back QuickBooks can download depends on the bank: Intuit notes that some banks allow the last 90 days, and others go back as far as 24 months. Check the register first, choose the option that overlaps least with transactions already in QuickBooks, and exclude any overlap that still downloads.
  • Link to the existing account. When QuickBooks asks which account the connection belongs to, choose the existing one. Do not create a new account.
  • Do not mix sources for the same period. If transactions were uploaded or keyed in while the feed was down, either exclude the overlap when it downloads or start the feed after that period.
  • Match, do not categorise. Where a downloaded item already exists in QuickBooks, match it to the existing transaction instead of categorising it as new. Train anyone who works in the bank feed on that one rule.
  • Reconcile soon after any reconnection. A reconciliation within a few days of reconnecting shows up an overlap before it spreads across months.

Where this fits

Duplicates are one cause of a reconciliation that will not balance, and they can also overstate income and expenses. If you are cleaning up a file with this problem, our QuickBooks cleanup checklist sets out where it fits in the order of work.
