Setting Up Zoho Books for Indian GST E-Invoicing

Connecting Zoho Books to the GST e-invoice system takes a few minutes. Most of the effort goes into the master data behind it. An e-invoice is rejected by the Invoice Registration Portal (IRP) when something on the invoice fails validation: the customer's GSTIN, the state and pincode in the address, the HSN or SAC code, the unit of measure, the place of supply against the tax type, the document number format, or the invoice date. Zoho's setup guide covers the connection. This post covers the settings and data that cause rejections, and how to fix them before the first invoice is pushed.

Who must e-invoice, and the time limit

E-invoicing applies to registered businesses whose aggregate turnover in any financial year from 2017-18 onwards exceeds ₹5 crore, from 1 August 2023. It covers B2B invoices, credit notes and debit notes, as well as exports and supplies to SEZs. Certain categories are exempt, including SEZ units, banking and insurance companies and goods transport agencies, so check whether the business falls within an exemption.

There is also a reporting deadline. From 1 April 2025, taxpayers with annual aggregate turnover of ₹10 crore or more cannot report invoices, credit notes or debit notes on the IRP if they are more than 30 days old at the time of reporting, according to GSTN's advisory of 5 November 2024. An invoice pushed late is not merely a compliance lapse. It cannot be registered at all.

The connection: quick, if done in the right order

Zoho is a GST Suvidha Provider, so Zoho Books connects to the IRP directly. According to Zoho's setup guide:

  1. Register on the e-invoice portal (einvoice1.gst.gov.in) using the GSTIN and the mobile number registered with it. A business already registered on the e-way bill portal can use those credentials.
  2. Create an API user for Zoho. On the e-invoice portal, go to API Registration > User Credentials > Create API User, choose Through GSP, select Zoho Corporation, and set a username and password.
  3. Enable e-invoicing in Zoho Books. Go to Settings > Taxes & Compliance > e-Invoicing and click Enable e-Invoicing. Then click Connect Now, enter the API username and password, and click Save & Validate.
  4. Set permissions. Under Settings > Users & Roles > Roles, give Push and Cancel Transactions in the e-invoicing section only to the people who should register and cancel invoices.

If the business already generates e-way bills through Zoho Books, Zoho uses the existing e-way bill credentials and the second step is not needed.

Where rejections actually come from

1. Customer GSTIN, state and address

The IRP checks the buyer's GSTIN against the GST system and checks that its state code agrees with the address on the invoice. Common failures:

  • a GSTIN that has been cancelled or become inactive since the customer was created;
  • a billing address whose state does not match the first two digits of the GSTIN;
  • a pincode that is invalid, or that does not belong to the state shown.

Fix it in the contact, not the invoice. Verify each B2B customer's GSTIN when it is added, and recheck active customers periodically. Make sure the billing address state and pincode agree with the GSTIN. For customers with multiple GST registrations, create the right address for each registration, rather than editing addresses invoice by invoice.

2. GST treatment and place of supply

Every contact in Zoho Books has a GST treatment, such as registered business, unregistered business, consumer, overseas or SEZ. Together with the place of supply, it decides whether Zoho applies IGST or CGST and SGST, and which e-invoice fields are generated.

  • An inter-State supply must carry IGST, and an intra-State supply CGST and SGST. A place of supply set to the wrong state produces the wrong tax type, and the invoice will fail or, worse, register with the wrong tax.
  • Exports and SEZ supplies need the right treatment. A customer abroad set up as an unregistered domestic business will not produce a valid export e-invoice. Set overseas customers to the overseas treatment, and SEZ units to the SEZ treatment, with or without payment of tax as applicable under your Letter of Undertaking.

3. HSN and SAC codes

The IRP validates HSN and SAC codes against its master, and enforces the digit requirement. Taxpayers with aggregate turnover above ₹5 crore must use six-digit codes on their invoices under Notification No. 78/2020-Central Tax.

  • Set the HSN or SAC on every item in Zoho Books. Do not leave it to be typed at invoice level.
  • Check that goods carry HSN codes and services carry SAC codes. A mismatch between the code and whether the line is goods or services is itself a rejection reason.
  • When the business adds new items, make the HSN or SAC field part of item creation, not a later clean-up.

4. Units of measure

The e-invoice schema requires a unit that maps to a standard quantity code (UQC). Free-text units such as "pcs." or "set of 2" will fail. Map each unit used in Zoho Books to a valid UQC. For services, use the unit the schema accepts for services rather than inventing one.

5. Document numbering

The IRP rejects a second registration for the same document number, document type and financial year, which is the "duplicate IRN" error. It also validates the number's format. Under Rule 46 of the CGST Rules, the serial number may not exceed sixteen characters and must be unique for the financial year. The IRP's pattern also restricts which characters are allowed and how the number may begin.

  • Design the numbering series in Zoho Books with this in mind: a short prefix, the financial year and a running number, using only letters, digits, "/" and "-". Do not start it with "0", "/" or "-".
  • Use separate series for invoices, credit notes and debit notes.
  • Never reuse a number. That includes the number of an invoice whose IRN has been cancelled.

6. Dates and cancellations

  • Push invoices to the IRP on the day they are raised. Do not batch them at month-end, because businesses above the ₹10 crore threshold lose the ability to register after 30 days.
  • The IRP does not accept future-dated documents.
  • An IRN can be cancelled on the IRP only within 24 hours of generation, and only in full. After that, or for a partial correction, issue a credit note or debit note and register that instead.

A pre-launch checklist

Before the first live invoice, run through this list in a test or low-risk period:

  • every B2B customer: GSTIN verified, GST treatment set, address state and pincode consistent;
  • every item: HSN or SAC set to the required digits, goods or services set correctly, unit mapped to a UQC;
  • numbering series reviewed against the IRP format rules;
  • e-invoicing permissions given only to the right users;
  • one invoice of each type pushed and checked: domestic intra-State, domestic inter-State, export and credit note. Confirm the IRN and QR code on the PDF.

After go-live

Review the e-invoicing status in Zoho Books daily for anything not yet registered or rejected. Fix the cause in the master data, then push the invoice again. Each month, compare the invoices registered on the IRP with the sales register before filing GSTR-1. The IRP data feeds the GST return, so differences need to be explained before they reach the return.

Where this fits

For exporters, e-invoicing sits alongside the Letter of Undertaking and the export receipt trail. See Letter of Undertaking for service exporters.
